MEDantex is serious about keeping your data secure. We are HIPAA-compliant and our servers are protected with 128-bit encryption. Our security and HIPAA compliance team is made up of department managers and headed by a security officer that continually monitors your data. We make sure your information is safe throughout the entire process, starting when you deliver your transcription, and through QA, corrections, delivery, and archiving.
Audio files and completed transcription documents are archived on SAN devices as well as DVDs. Storage media is placed in secure storage, and requires a user ID and password for restoration. Access to MEDantex servers is limited to authorized individuals only.
MEDantex has a fully staffed training center that certifies each member of the team on security regulation before putting them on the production floor. Plus, every employee signs a confidentiality and non-disclosure agreement that clearly details privacy and security requirements.
We offer multiple ways of receiving your completed transcription, including but not limited to:
- Password protected e-mail attachment
- Secure web portal logins
- EMR/EHR interfaces
As mandated by the Health Insurance Portability and Accountability Act of 1996 (HIPAA), medical transcription companies are required to ensure the security and confidentiality of every patient’s Protected Health Information (PHI), and maintain an audit trail of all individuals who have accessed it. This means that transcription service providers must implement technology and business processes that support these two requirements. MEDantex is fully compliant with these requirements.
MEDantex will not provide Protected Health Information (PHI) to anyone other than the dictating provider, their authorized agents, including the staff managing the medical records, other referring providers as instructed by the dictating provider, and the internal transcription team actually transcribing the documents. MEDantex will not release information directly to the patient.
